Executive Assistant
General Summary
The Executive Assistant will support the company President, and other executive management as needed. This position will provide high quality administrative and clerical assistance. To be successful, the Executive Assistant will be highly self-motivated, professional, able to identify and address the needs of senior managers and perform administrative tasks to ensure our company’s workflow run’s smoothly.
Education and Experience Requirements:

Bachelor's degree in Business Administration or related field preferred.

Minimum of two (2) years of executive level secretarial experience OR any equivalent combination of education and experience.

Must be able to maintain the highest level of confidentiality and have ability to handle sensitive material concerning the organization.

Demonstrated proficiency in MS Office Suite (Excel, Word PowerPoint) databases and Outlook.

Excellent organizational and multi-tasking skills necessary.

Attention to detail, quality and accuracy required.

Demonstrated ability to analyze and problem solve independently.
-
Ability to communicate information in a clear, concise, and courteous manner both orally and written.

Excellent interpersonal skills necessary to communicate with multiple departments, callers, visitors, and various levels of management.

Required to pass criminal background check and drug screen.

Experience in coordinating projects.

Experience writing and editing internal communications, including corporate and executive level communications.

Strong time management skills and the ability to meet deadlines.

Ability to perform multiple tasks with minimum supervision and prioritize assignments.

A proactive approach to problem-solving with strong decision-making skills.

Must be self-motivated and able to complete tasks accurately and as directed.
Essential Duties and Responsibilities
-
Provide a full range of administrative and/or executive secretarial services to the president and executive team.

Assume the role as the primary point of contact between the executives and internal/external clients.

Organize and prioritize large volumes of information, inquiries, requests, and phone calls
-
Organize and maintain files.
-
Create documents, presentations, etc. at the request of Executive leadership
-
Schedule, organize and attend meetings. Prepare agendas, reserve rooms, send appointments, and coordinate catering.

Sets up and trouble shoots phone, video, and web conferencing effectively.

Take dictation and meeting minutes, accurately enter notes, and distribute. Serve as the keeper of knowledge and action items.

Execute meeting preparation for Board of Directors meetings including agenda distribution and report compilation.

Responsible for coordination of small routine projects (send out company weekly communication, update org charts monthly, assist in planning monthly meetings and etc.).

Organize and execute company community and social events.

Support activities within employment engagement strategy, including organizing meetings, reward systems, and team events.

Handle request, feedback, and queries quickly and professionally.

Arrange executive travel, hotel and dining arrangements as needed.

Performs other responsibilities associated with this position as may be appropriate.
